Facebook and Instagram posts are where most owners feel stuck. The trick is to tell the AI a few plain facts about the post, and let it shape them into something friendly.

Write a short, friendly Facebook post for my business. We are a family bakery in a small town. This weekend we have fresh apple pies for $12. Keep it warm and simple, about three sentences.

A Month of Post Ideas in Minutes

One of the best uses is beating the "what do I even post about?" feeling. AI is very good at brainstorming a batch of ideas you can pick from all month.

Give me 15 simple ideas for Facebook posts for my hair salon. Mix in tips, behind-the-scenes, and gentle reminders to book. Keep each idea to one line.

Replying to Online Reviews - Good Ones

A customer left a 5-star review saying our staff was friendly and the coffee was great. Write a short, warm reply thanking them. Do not sound stiff or corporate.

Replying to Negative Reviews - Calmly

A harsh review stings, and it is tempting to fire back. AI is a real help here: it can draft a calm, professional reply when you are too upset to find the words. It takes the heat out of your first response.

A customer left a 2-star review saying they waited too long and felt ignored. Write a calm, professional, non-defensive reply that apologizes for the wait, does not make excuses, and invites them to contact us so we can make it right.

  • Offers to take it offline - a phone number or email to sort it out.
  • Never blames the customer or gets sarcastic.

Writing Menu or Product Descriptions

A tasty-sounding menu item or a clear product description helps customers say yes. AI can turn your plain list into appealing words - as long as you feed it the real ingredients and facts.

Write a short, appetizing menu description for a grilled chicken sandwich with cheddar, bacon, lettuce, and chipotle mayo on a brioche bun. One or two sentences, not over the top.

Writing Simple Policies

Clear policies - hours, returns, cancellations - save you arguments later. AI is great at turning your rough intentions into plain, polite wording that customers can understand.

Write a short, friendly cancellation policy for my salon. We ask for 24 hours notice, and a missed appointment without notice may be charged half the service price. Keep it polite and easy to read.

Making It Sound Like Your Business

Left on its own, AI writes in a smooth, generic voice that could belong to anybody. The fix is easy: tell it about your business and your style, and it will match you far better.

A handy trick: paste in a post or two you have written before and say "write the new one in this same style." It will pick up your rhythm and sound much more like you than a cold start would.

  • Your tone - "friendly and down-to-earth" or "professional but warm."
  • Words you use or avoid - "we say folks, not customers; no fancy jargon."
  • A real detail - a genuine specialty, your town, a true point of pride.

Always Review Before You Post

This is the most important page in the guide. AI can be confidently wrong - it can state a wrong price, a wrong hour, or a claim that is not true, all in a calm, sure-sounding voice. Experts call these mistakes "hallucinations." The accuracy is on you.

Read the whole draft out loud before it goes public. If a detail is wrong or you cannot personally vouch for it, fix it or cut it. Once it is posted with your name on it, it is your word, not the AI's.

  • Ingredients, materials, and product details
  • Any claim - "best," "organic," "guaranteed," "award-winning"
  • Phone number, address, and website

Don't Share Private Data With AI

Treat anything you type into AI like a postcard, not a locked drawer. Assume the company could see it or use it to improve their system. So keep your customers' information and your private business numbers out of it.

You can still get plenty of help without any of that. Ask in general terms - "write a reply to a customer upset about a late order" - instead of pasting the customer's actual name, order number, or contact details.

  • Your passwords, bank account, or tax ID numbers

Honesty & Trust

AI makes it easy to write a lot of words quickly - which means it is also easy to cross a line without meaning to. A few honest habits protect the trust you have built with your customers.

AI is a fine helper for replying to real reviews and writing honest posts. It should never be used to fake enthusiasm that is not there. Customers can smell it, and getting caught costs far more than it is worth.

  • Never write fake reviews for your own business - it is dishonest and against the rules of every review site.
  • Never write fake reviews attacking a competitor.
  • Do not invent testimonials or quotes from customers who did not say them.
  • Do not make claims you cannot back up - "number one," "doctor recommended," and the like.

A Simple Weekly Routine

You do not need to touch AI every day. A short, steady routine keeps your page active and your reviews answered without eating your evenings.

That is it. A consistent 20 minutes beats a frantic hour when you finally remember your page has gone quiet. Small and steady is what customers notice.

  • Have it draft one post; you fix the details and schedule or post it.
  • Reply to any new reviews - draft with AI, check, and post.
  • Note anything coming up - a special, a closing - to announce next.
