Switching Processors — Moving Items and Customers Without Losing Them
Last verified: October 2026
Switching payment systems feels risky, but done in the right order it's calm and worth it. This guide covers exporting your data, timing the change, and dodging exit fees. Rather have a hand? My number is (330) 200-8042.
Switching Processors, at a Glance
You won't lose your items or your customers when you switch — if you export your data first and move with a plan. Download your catalog, customer list, and sales history; check your old contract for an early-termination fee and whether your hardware is leased; set up and test the new system; then overlap the two on a slow day so you never stop taking cards. This guide walks through it in plain English. There's a printable 29-page version up top.
Common Questions
1 Will I lose my items and customers if I switch?
No — not if you export them first. Download your item catalog and customer list as a plain file and import them into the new system. Do this before you cancel anything.
2 Can I move my saved cards on file?
Usually not. Stored card tokens belong to the old processor and don't transfer, so customers typically re-authorize on the new system. Our deposits-and-cards-on-file guide explains how card-on-file works.
3 How do I avoid a gap with no way to take cards?
Overlap the two systems. Keep the old one live as a fallback until the new one is set up, tested, and proven — only then cancel the old one. Switch on a slow day.
4 What's an early-termination fee?
A penalty some contracts charge to leave before the term ends, often on Clover or Toast deals. Weigh it against your monthly savings, and watch for a separate hardware lease that keeps charging — see our terminal-leases guide.
5 When's the best time to switch?
A slow day with room to breathe — a quiet morning or off-season week, never your busy season or the run-up to the holidays. And mind your old contract's auto-renewal window.
6 Should I even switch?
Worth it if you're overpaying, stuck with poor service, or your system can't do what you now need — see our choosing-a-system guide. Not worth it if savings are tiny or you're near the end of a contract anyway. Add up a real month before you decide.
Would You Rather I Just Help?
A switch is calm with a plan and nerve-wracking without one. I'll help you export your items and customers, set up and test the new system, overlap the two so you never stop taking cards, and spot any early-termination fee or hardware lease in your old contract — with nothing to sell you and no commission from anyone. For the legal fine print I'll point you to your attorney. $99 flat for a visit, 30-day come-back-free.
Would you rather I just do this for you?
No shame in it — plenty of folks would rather hand it off, and that's what I'm here for. I'll come to your home, set it up right, and make sure it's working before I leave. Flat $99 per visit — no jargon, no upsell, and every visit is 30-day come-back-free.
Not a hardware job? I can often fix it remotely for $49 — a secure screen-share, up to 2 hours, that you watch the whole time and can end whenever (included free for $39/mo Support Plan members, and it counts toward the $99 if it turns out I need to come out).
