Donations and Dues — Card Readers for Churches, Clubs and Fundraisers
Last verified: October 2026
A warm, plain-English guide for volunteer-run groups taking cards for donations and dues — a simple low-fee reader-and-phone setup, nonprofit rates worth asking about, QR codes and recurring dues, and clean donor receipts. Want a hand getting started? My number is (330) 200-8042.
Donations and Dues for Volunteer Groups, at a Glance
A church, club, or fundraiser doesn't need a fancy register — just something a rotating crew of volunteers can run, that keeps fees low, and that gives donors a receipt. A basic tap reader and a phone is plenty for a bake sale or booth, and registered nonprofits can often ask about discounted rates. This guide covers readers, QR codes, recurring dues, receipts, and clean records. There's a printable version up top.
Common Questions
1 What's the cheapest way for our group to start?
A basic tap reader and a phone, on a free app from Square, Shopify, or Clover Go. The basic tiers usually have no monthly fee, so you pay only when a gift comes in — plenty for a bake sale or booth.
2 We're a nonprofit — do we get a lower rate?
You might. Many processors and donation platforms offer nonprofit rates or tools for 501(c)(3) groups, but it's never automatic and the figure changes. Ask each provider directly, confirm you qualify, and get the current rate in writing.
3 Can we give donors a tax-deductible receipt?
Your system can send a receipt automatically, but a proper tax-deductible acknowledgment has specific IRS rules. Have your treasurer or CPA confirm the wording — I'm a tech helper, not an accountant.
4 What other tools can a group use?
A donation kiosk or tablet, text-to-give, recurring dues and pledges, and a QR code to a donation page. Pick the few that fit how your people actually give.
5 Can members set up automatic monthly dues?
Yes — recurring payments let a member authorize a regular charge once. Be sure the card is stored in the processor's secure vault, which our deposits-and-cards-on-file guide covers.
6 What's the biggest thing to get right?
Keep it simple enough that any volunteer can run it, open the account in the group's name (never a volunteer's), and sort tax-receipt wording with your treasurer.
Would You Rather I Just Help?
Helping a church, club, or fundraiser take cards is some of my favorite work, because it goes straight to a good cause. I'll help your group set up a simple, low-fee reader, a QR code, receipts, and train a couple of volunteers — with nothing to sell you and no commission from anyone. $99 flat for a visit, 30-day come-back-free.
Would you rather I just do this for you?
No shame in it — plenty of folks would rather hand it off, and that's what I'm here for. I'll come to your home, set it up right, and make sure it's working before I leave. Flat $99 per visit — no jargon, no upsell, and every visit is 30-day come-back-free.
Not a hardware job? I can often fix it remotely for $49 — a secure screen-share, up to 2 hours, that you watch the whole time and can end whenever (included free for $39/mo Support Plan members, and it counts toward the $99 if it turns out I need to come out).
