Printing Excel the Way You Want, at a Glance
Excel printing has an earned reputation: a tidy sheet on screen can explode into a mess of pages on paper. That's because an Excel sheet is an endless grid with no natural page edges, so you have to tell it how to divide onto paper. Use Print Preview to see the result, 'Fit Sheet on One Page' or Landscape to control the spread, Print Titles to repeat headings on every page, and a Print Area to print just a portion. 1 How do I print my whole sheet on one page?
In File > Print, change the scaling from 'No Scaling' to 'Fit Sheet on One Page'. If that makes the text too tiny to read, try Landscape orientation instead.
2 Why does part of my sheet print on a second page?
Excel chopped its grid into pages a column too early. Fix it with Landscape, 'Fit All Columns on One Page', Narrow margins, or by dragging the break in Page Break Preview.
3 How do I repeat the column headings on each page?
On the Page Layout ribbon, click Print Titles, then set 'Rows to repeat at top' to your heading row. It then prints at the top of every page.
4 How do I print just part of a sheet?
Select the cells you want, then Page Layout > Print Area > Set Print Area. Only that region prints until you clear it — handy for leaving off working columns.
5 How do I see where the pages will break?
On the View ribbon, click Page Break Preview. Blue lines show where each page ends, and you can drag them to pull a stray column back onto the page before.
6 Do my print settings stay saved?
